How Ultimate Activity Company collects, uses and protects your personal information.

Who we are

Ultimate Activity Company (“we”, “us”) is the controller of the personal information collected through this website. Our address is Harthill Grange, Forest of Dean, GL15 6XA. You can contact us on 01432 264 807 or at enquiries@ultimate-activitycompany.co.uk.

What information we collect

When you send an enquiry through our form we collect the details you give us: your name, organisation, job title, email address, telephone number, and information about the event you are planning (such as group size, location, dates, budget and any requirements).

We also receive basic technical information when you visit the site, such as your IP address, browser type and the pages you view. This is held in standard server logs.

How we use your information

We use your enquiry details to reply to you, prepare ideas and quotations, and plan and deliver any event you book. Our lawful basis is that this is necessary to take steps at your request before entering into a contract, and to perform a contract with you.

We use technical information to keep the site secure and working properly, based on our legitimate interest in running and protecting our website.

We will only send you marketing emails if you have asked us to, and you can opt out at any time.

Who we share it with

We do not sell your information. We share it only with the service providers who help us run the website and our business, such as our web hosting and email providers, and with suppliers who need it to deliver an event you have booked with us. These providers act on our instructions and are required to protect your data.

How long we keep it

We keep enquiry details for as long as is needed to respond to you and for up to 24 months afterwards. If you book an event with us, we keep the booking and accounting records for as long as the law requires, which is currently six years.

Cookies

This website uses only the cookies that are necessary for it to work. If we add analytics or marketing cookies in future, we will ask for your consent first and update this page.

Your rights

Under UK data protection law you have the right to ask us for a copy of your personal information, to correct anything that is wrong, to ask us to delete it, to restrict or object to how we use it, and to receive it in a portable format. To use any of these rights, contact us using the details above.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be published on this page.
